Step 2:
List the qualities
Once you're familiar with the person, break down the information you've gathered into categories:
Personal. What positive qualities does the person have? For example, a sense of humor, the ability to wear many hats, or the ability see the big picture.
Professional. What specific projects has the person accomplished? In what areas does he or she excel? How would you rate the person, given your experience with his or her particular work?
Weaknesses. Although the qualities you list should be positive overall, a recommendation with nothing but positive remarks could cause some skepticism. Everyone has weaknesses--the key is to talk about those the person was able to overcome.
Future potential. How and why will the person be a good addition to the place or person receiving the letter? What can they expect in terms of the person's goals and possibilities of growth?
